1 Overview

Cover Letter Pro ("the Extension") is a Chrome browser extension that helps users generate professional cover letters using the OpenAI API. This Privacy Policy explains what data the Extension collects, how it is stored, and how it is used.

By installing or using the Extension you agree to the practices described below.

2 Data We Collect

The Extension collects only the information you explicitly provide in the popup form:

Job title, company name, and your full name (required fields)
Years of experience and key skills (optional fields)
Additional information you choose to enter
Your OpenAI API key (stored locally in Chrome sync storage)

3 How Your Data Is Used

Your form data is used solely to construct a prompt that is sent to the OpenAI API to generate your cover letter. Specifically:

Form data is transmitted to OpenAI's servers to generate the cover letter text
The generated cover letter and analytics metrics are saved to Chrome local storage on your device
Your API key is saved to Chrome sync storage to persist across browser sessions
No data is sent to the developer or any server other than OpenAI

4 Third-Party Services

The Extension uses OpenAI's API (api.openai.com) to generate cover letters. When you click "Generate Cover Letter," your input data is transmitted to OpenAI. OpenAI's use of this data is governed by:

The developer of this Extension has no control over how OpenAI processes or retains your data after it is transmitted.

5 Data Storage & Retention

API key — stored in chrome.storage.sync, encrypted by Chrome and synced to your Google account if Chrome sync is enabled
Generated cover letters & metrics — stored in chrome.storage.local on your device only
Deletion — all locally stored data is permanently deleted when you uninstall the Extension

      No data is retained on any external server controlled by the developer. Your data stays on your device (except for the API call to OpenAI).
    

6 Data Sharing

We do not sell, trade, rent, or share your personal data with any third parties, advertisers, or analytics services. The only external transmission of data is the API request to OpenAI, which is required to generate the cover letter.

7 Your Rights & Controls

You may clear stored data at any time by uninstalling the Extension
You may remove your API key from Chrome storage via the Settings tab
You may review Chrome storage contents via DevTools (chrome://extensions → Inspect → Storage)
You may choose not to enter sensitive personal information in the form fields

8 Children's Privacy

This Extension is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided personal information through this Extension, please contact us and we will take steps to remove it.

9 Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will reflect any changes. Continued use of the Extension after changes are posted constitutes acceptance of the updated policy.
